This Workflow/functionality is intended for Admin End-User & Business End-Users.
Leave Quotas allow you to set the maximum number of employees that can be on Leave on the same day. This can be configured to apply to certain Leave Type(s) or filter down to employees that match certain criteria.
Best practice: When creating new Quotas, please only use
Max Employees on Leave, other quotas configurations are available
in Indeavor, but are unsupported and will be deprecated.
- Click on the Leave Management icon

- Select Quotas from the Quotas section.
- Press the Add New button.
- First enter the Name of the Leave Quota rule.
- Then set desired values in the Valid From and Valid To fields.
- Valid From refers to the date that the Leave Quota rule begins.
- Valid To refers to the date that the Leave Quota rule ends.
- Then fill out the Leave Type and Max Employees on Leave fields.
Leave Type defines the types of Leaves to which the Quota rules will apply. All or only specific Leave Types can apply. If the field is left blank, all Leave Types will be considered.
Max Employees on Leave defines the maximum number of employees that can be on Leave on the same dayNote: On the Leave Requests and Roster pages, any Hourly Leaves
(i.e., that users requested by selecting specific start/end times)
will only count towards the Max limit if their periods overlap
with other approved Leaves. - The Employee Conditions section defines which employees the Quota rules will apply to.
Field Function Employee Group The Leave Quota will apply to employees who belong to any of the selected Employee Group(s). Primary Organizational Unit The Leave Quota will apply to employees who belong to the selected Organizational Unit. Please select only 1 Organizational Unit (OU), not multiple OUs and not any parent OU. Base Schedule The Leave Quota will apply to employees who are assigned to any of the selected Base Schedules. Note: If you want your only condition to be whether employees are assigned
to the selected Base Schedule(s) or not, remove any Dimensions that were
automatically added. - The Dimensions section can be used to filter down to employees whose most recent assignment or Base Schedule day preferences match certain Job, Location or Shifts based on the Dimension Option setting.
Field Function Job The Leave Quota will apply to employees if the Job in their most recent assignment or Base Schedule day preferences matches any Job or belongs to any Job Groups selected in this field. Location The Leave Quota will apply to employees if the Location in their most recent assignment or Base Schedule day preferences matches a Location or belongs to any Location Groups selected in this field. Shift The Leave Quota will apply to employees if the Shift in their most recent assignment or Base Schedule day preferences matches any Shifts or belongs to any Shift Groups selected in this field. - In the Dimension Option section, you can define if the selected Dimensions will be evaluated based on the employees’ most recent assignments or their Base Schedule day preferences.
- If Applies To: Actual Assignment is selected, the Quota will apply to employees
whose most recent assignment matches the specified Dimensions. Employees
who do not have any assignments will not be considered unless the Default to
Base Schedule if no Assignment Exists checkbox is selected and their top Base
Schedule day preferences match those Dimensions.
- If Applies To: Preferences - Base Schedule is selected, the Quota will apply to
employees whose Base Schedule day preferences match the specified
Dimensions, regardless of whether the employees are assigned or not. The Top
Preferences to Consider value defines how many Base Schedule day preferences
will be considered - Press the Save button.
Best Practice: If you use balances as well as quotas, increase Admin
and Supervisor efficiency time by using Leave Auto Approval.
